#11 Streamlining the Evidence Curation Process for IB MYP Evaluation

General Tips for Curating Evidence:

● Align with PSP 2020: Ensure all evidence directly relates to the standards and practices detailed in the IB Programme standards and practices (PSP) 2020.

● Showcase Impact: Prioritize evidence that showcases the positive influence of your school's practices on student learning and well-being.

● Provide Context: Explain the purpose and significance of each piece of evidence within the broader evaluation context.

● Organize Effectively: Structure your evidence logically and accessibly for easy review by evaluators.

● Start Early: Begin curating evidence well in advance of the deadline to allow ample time for collection, review, and organization.

● Maintain Ongoing Documentation: Regularly document program activities, student work, assessment data, and professional development throughout the five-year cycle to simplify future evidence collection.

● Seek Feedback: Request feedback from experienced IB coordinators or mentors on the clarity, relevance, and completeness of your curated evidence.

● Communicate with the IB: Maintain open communication with your IB World Schools Manager for support and guidance during the evaluation process.



Steps to Curate Evidence for Re-evaluation:

  1. Familiarize Yourself with the IB Programme standards and practices (PSP) 2020: This document outlines the essential principles and practices for authorization and evaluation. It is crucial to ensure your school fulfills these standards.

  2. Review the Guide to programme evaluation: This guide offers valuable information on required evidence types and presentation methods, particularly the "Support for completing documentation" section.

  3. Conduct a Preliminary Review: Review and update all necessary programme documentation. Refer to Appendix 1 of the Guide to Programme Evaluation to ensure you have all required documentation.

  4. Gather Evidence According to PSP 2020: Organize evidence collection based on the PSP 2020 categories and practices (Learning, Teaching, Leading). Gather evidence that demonstrates how your school implements these practices effectively.

  5. Organize Evidence Thematically: Use thematic headings aligning with the PSP 2020 categories and practices to structure your evidence for clarity. For instance, consider sections on Curriculum, Assessment, ATL, International Mindedness, and Leadership, with sub-sections for specific practices.

  6. Provide Context and Explain Impact: Explain the purpose and relevance of each piece of evidence in relation to the evaluation. Articulate how each piece of evidence showcases successful IB program implementation and its impact on student learning.

  7. Develop a Programme Development Plan: Refer to the template provided in Appendix 2 of the Guide to programme evaluation or create your own. Ensure your plan includes evidence of planning, implementation, analysis, reflection, and learning for a chosen aspect of the program(s).

  8. Engage the School Community: Involve teachers, administrators, students, and parents in gathering and reviewing evidence. Facilitate discussions to gain diverse perspectives on the program's effectiveness and areas for improvement.

  9. Consult Official IB Documentation and Experienced Coordinators: Refer to official IB guidelines for evaluation and seek advice from experienced coordinators for best practices and compliance.


Evidence List for All Programmes:

● School and programme profile

● Legal entity and licensure documentation

● Statement of acceptance

● Evidence of mission alignment

● Job description of the head of school or designee(s)

● Job description of the programme coordinator

● Budget plan for the next five years

● Collaborative planning description/schedule

● Parent or guardian and student complaints procedures

● Policies: Access or admissions, Inclusion, Language, Academic integrity, Assessment

● Staff list and professional development chart

● Sample schedules for each grade/year of the program

● Examples of school reports to parents from different grade/year levels


Additional Evidence for MYP:

● Subject group overviews of all subjects of all subjects offered in MYP

● Three completed unit plans or equivalent evidence demonstrating the use of the MYP planning process for each year or grade level

● Two IDU Unit plans

● Student assessed tasks with rubric, task specific clarifications and feedback by the teacher

● Evidence of how standardisation and moderation of assessments take place.

● A description of how the Personal Project is organized and managed in the school, including:

○ The structure to ensure coordination of the Personal Project

○ How students and mentors are briefed

○ The assessment process- moderation of the projects

○ A description of the previous year's projects, highlighting the types of projects involved.
